University of the West Student Government Student Emergency Fund (SEF) Policy

University of the West is a private, nonprofit, non-sectarian, co-educational university offering undergraduate, graduate, certificate and continuing education programs consistent with the educational mission of California higher education degree-granting institutions. Since February 16, 2006, it is accredited by the Western Association of Schools and Colleges (WASC). Organized under the Nonprofit Public Benefit Corporation Law of the State of California, University of the West is not conducted for the private gain of any individual or institution.

The mission of University of the West is to:

1.    Provide a ‘whole person’ education in a context informed by Buddhist wisdom and values; and
2.    Facilitate cultural understanding and appreciation between East and West.

A highly qualified faculty and a supportive and physically attractive learning environment are provided so that students can master a body of knowledge, acquire analytical and creative problem-solving and learning skills, cultivate moral and cultural discernment and develop personal and social responsibility.

Under the advices of the University of the West mission statement the SEF was created to assist students in time of emergency financial need.  We understand that life does not always go the way that things are planned and with the collaboration between the Office of Student Life and the University of the West Student Government (UWSG); the Student Emergency Fund was created to assist students in an emergency crisis.  The Student Emergency Fund (SEF) was created and established through the Student Life Department and is managed by UWSG and its Executive Officers.  SEF funds are for educational needs that relate to the purchase/payment of books, tuition, housing, food, and/or travel.  Full amount of borrowed funds must be paid back to UWSG by the agreed date and/or renegotiated for a later time or a waiver (waiver is approved by the Student Life Dept. and UWSG under “extreme circumstances”).  UWSG and Student Life do not endorse the use of these funds for purchases and activities that do not directly relate to a fair and true emergency that would negatively affect a student’s educational needs. 

​Applicant Guidelines:

​1.    Applicant must be enrolled in at least half-time (6 Units) for FALL or SPRING classes. 
2.    Applicant must provide legal name, address, and a current phone contact number. 
3.    Accurate references must be provided
4.    Exact funding amount must be provided. 
        a.    In the event that additional fund is requested after the original application has been processed, a  second application must be completed and approved. 
5.    Full amount must be paid on or before the due date. 
        a.    If due date cannot be met, applicant must communicate with UWSG or Student life for possible options. 
6.    SEF must be signed by the Applicant and a UWSG officer. 
7.    Original application will be held in the UWSG or Student Life Office and a copy will be provided to the applicant. 

​Use of Funds:

​1. Books and Literature: Funds are acceptable for the purchase of books, magazines, newspapers, journals and other educational text.
2. Tuition: Funds are acceptable for the use of tuition, comprehensive fees, retreats, field trips, and/or other UWEST administrative elated expenses.
3. Housing: Funds are acceptable for the use of housing rent, utilities (power, gas, water, phone), internet, cable/satellite, toiletries, and/or furniture.
4. Food: Funds are acceptable for the use of meal tickets, grocery, and/or other form of nutrition.
5. Travel: Funds are approved for the use of bus fare, shuttle, gas, airline travel, and/or other vehicle related repairs.
6. Other: Funds are acceptable for the use of other items such as clothing, shoes, or other personal artifacts.
7. Funds are not acceptable for illegal substances, alcohol, weapons, firearms, or leisure activities such as movies, bars, clubs, and/or other activities.

​Funding, Payment and Collection:

1. Funds will be released to the applicant in the form of Check.
2. Checks will be signed by either the UWSG President or Treasurer.
3. The applicant is responsible for communication with UWSG or Student Life for possible payment options. Options available are as follows:
a. Full amount on or before the agreed due date.
b. Payment plan that outlines payment amount dates and receipt of full payment.
i. Applicant must keep accurate records of all payments
ii. Applicant must contact UWSG or Student Life if a payment is missed or delayed.
4. Payments can be made in the form of Cash, Check or Money Order only.
a. Wire Transfers, FX, barter, and other forms are not acceptable.
5. In the Event of “Extreme Circumstance” applicant will not be required to pay the outstanding balance. Extreme circumstances include the following:
a. Applicant is unable to pay due to death.
b. Applicant has been removed/released from university
c. Applicant is under severe hardships
d. Applicant and references are unreachable.
6. Collection: in the event that the applicant is unreachable and fails to contact Student Life of UWSG, references will be contacted for information regarding the applicant. Confidentiality will be maintained in regards to funds and payments.
7. If an applicant has not registered for classes they will still be responsible for repayment of these funds.
